PROCESSING INCOMING VEHICLE DOCUMENTS
Registration documents first go through a process of barcoding and scanning in our reliable digitization area. This ensures clear identification and a smooth transition into the electronic workflow.
After this step, the detailed transport logs are separated by client and securely forwarded to us. Collection is then carried out by a specialized Rhenus courier directly from the customer, ensuring quick and secure transfer.
Rhenus Archive Services stores the registration certificates ZLB using a specialized archiving system that utilizes dynamic storage. The respective status of the ZLB is transmitted to the customer’s system. Using a monitoring list, we can verify and ensure completeness at any time.
STORAGE OF INDIVIDUAL ZLB 1 AND COCs
The barcodes of individual ZLB 1 and COCs (EG compliance certificates) are carefully documented and tracked. The allocation of ZLB 1 to the corresponding ZLB 2 is done using the Vehicle Identification Number (VIN). If ZLB 2 is not immediately available, the documents are either sent separately or stored, while the return is monitored.
STORAGE OF VEHICLE KEYS AND DOCUMENTATION KITS
The Vehicle Identification Number (VIN) of individually incoming keys or documentation kits is carefully recorded. The documents are sorted or stored separately according to the VIN of the ZLB 2. In the latter case, a corresponding note is attached to the ZLB 2.
PROCESSING OUTGOING VEHICLE DOCUMENTS
The customer places a request for the documents directly through their shipping program. At Rhenus, the shipping letter is then created, containing all essential information such as storage location, document number, VIN, recipient address, shipping method, etc.
Depending on the agreed service level, the processing of ZLB 2 can include everything from removal from the customer's system to the shipping order.
HANDLING INCOMING BONDS
Incoming bonds are checked for originality, followed by entering the bond into the Rhenus Archive System. A weekly check is carried out to determine if the customer has assigned a contract number. If so, the bond is processed and filed in the corresponding binder.
PROCESSING OUTGOING BONDS
The shipping process includes the automatic printing of the shipping letters, followed by the creation of a report. This report is cross-checked with the shipping letters before the subsequent picking of the bonds.
